PLAN THE PROPERTY
Start by recording what the property already owns and where it is used. For a Detroit, Grand Rapids or Ann Arbor refresh, some chairs or tables may remain while others change. At a Traverse City property, the room schedule may also include areas used differently through the operating year. Describe the actual arrangements and storage plan before treating every room as a completely new furniture order.

Keep exposure and intended placement attached to each furniture line in the schedule.
01 / LOBBY & ARRIVAL
Assess the existing arrival furniture as complete groups rather than isolated chairs. A retained sofa may still need appropriately sized side tables or replacement occasional seats to make the group useful. Photograph and measure those pieces, then position the new furniture around the route to reception and lifts without relying on an approximate visual match.

02 / THE GUEST LOUNGE
List the lounge arrangements the property intends to use, including any that change during the year. Keep furniture stored for a later arrangement in the inventory so it is not accidentally reordered. When adding pieces, compare their seat position, footprint and finish beside the furniture being kept, and identify which elements should relate across the room.

03 / DINING & BREAKFAST
Check retained tables against the proposed dining chairs before confirming the chair order. Table height, base shape and the room’s layout can matter more than a similar timber colour. Separate replacement chairs from additional settings, and include stools, waiting seats or other supporting furniture needed to complete the dining area.

04 / MEETING & PRE-FUNCTION
Distinguish the meeting furniture already available from pieces borrowed from another public room. If the property changes between several layouts, record the largest simultaneous requirement and the storage location for unused tables or chairs. Request handling information for new furniture and check that it fits the existing movement route rather than assuming it behaves like the old set.
Turn the room list into furniture quantities ↗BEFORE THE QUOTE
Yes. Include furniture held for another layout or part of the operating year, and note where it is stored. That inventory can affect the new purchase quantity even when the pieces are not currently on display. Identify condition and intended use before deciding whether stored furniture remains part of the plan.
For pricing, include quantities, proposed finishes and the property location. Confirm current product options, lead time, delivery and assembly scope in the quotation for your actual order.
Prepare a clearer request for quotation ↗YOUR MICHIGAN PROPERTY
Send the room schedule with each piece marked retain, relocate or replace, along with approximate new quantities and photographs. Add any changing layouts, storage conditions, receiving details and target dates. This gives the furniture conversation a clear starting point and keeps the quotation focused on the new pieces the property actually needs.
