Treat the lobby’s everyday waiting furniture as its own allocation before building the timetable for movable meeting stock. In the sample comparison below, those arrival seats are excluded from the figures. If a proposal relies on borrowing them, identify when the lobby can release the pieces and which guest arrangement remains available during that period.

Give any lounge furniture proposed for a temporary function a release time and a return requirement. A chair is not transferable simply because the room has no scheduled event; the lounge may still be serving ordinary guests. Check the table relationship and intended use as well, because a piece available at the right time may not suit the next setting.

Keep furniture assigned to a restaurant or breakfast room distinct from pieces available for a different event arrangement. Review the chair, table base and place setting together, then multiply the approved setting across the actual layout. Meeting B needs 80 ready at 10:30, so those 60 cannot contribute: 140 chairs are committed across the two rooms. If B’s deadline changes to 11:30, an 80-chair pool might cover both only when the team confirms the 30-minute clearing, movement and reset window.

Compare the next room’s ready time with when the previous room actually releases the chairs. If the commitments overlap, count both allocations. If there is a gap, confirm that clearing, transfer and setup fit within it and that the same product suits both uses. Only then consider reducing the combined inventory.
